On the Dashboard click the Enter Payroll icon in the list of Shortcuts.

Salary employees: Salary employees will receive their salary shown automatically, do not enter any hours. If you need to pay an amount different than the normal salary, use the "Pay Override" earning code. You can even enter $0 in Pay Override to stop a salary employee from being paid. You can also add a bonus or commission on top of their salary at anytime. Click the Setup button (gear icon) to show additional earnings codes not already shown.

Hourly employees: Hourly employees must have Hours (Regular/Overtime) entered to be paid. You can also add a bonus or commission on top of their hourly pay, just like for salary employees.

Independent Contractors: Independent Contractors can be paid one of three ways: Flat Rate, Variable Rate, or Hourly Rate. See our help guide for Paying Independent Contractors for more details.

Now let's preview the payroll! With all of the hours and payments entered in the Rapid Pay table, click the Preview Payroll button. It's located just above the Rapid Pay table next to the Setup button.

Click the Preview button again at the bottom of the next screen.

The system will generate the preview and display the Estimated Payroll Expense screen when complete.

Generally, we will withdraw the payroll expenses 3-days before pay date. Payroll expenses will be withdrawn on the next business day if it is already closer than 3-days to pay date when the payroll is approved.

We withdraw the amount required to pay for Direct Deposit, Employer Taxes, Employee Taxes, our invoice fee, and any other payments requested by the employer.

This is a great time to make sure there are sufficient funds in the company account to cover the Estimated Payroll Expense to avoid costly overdraft bank fees.

A more detailed report of the wage and tax breakdown for each employee can be viewed by clicking View Preview at the bottom of the screen.

Now, don't forget to approve your payroll!
Now you must approve the payroll with two easy clicks! First, click the Approve Payroll button at the bottom of the Estimated Payroll Expense screen. Next, click the Approve button again at the bottom of the confirmation page.

The system will perform it's final calculations and display the Payroll Expense summary.

Congratulations, that's it!

You can view the payroll report package by clicking View Payroll Documents at the bottom of this screen. If you are self-printing checks for non-Direct Deposit employees, the checks are immediately available in the Payroll Documents.
